OFFICE OF THE REGISTRAR
The Registrar’s Office is responsible for administering student admissions and registrations, course changes and maintaining student records. The office also issues marks, certificates, diplomas, transcripts and similar statements. Registration functions are maintained at each of the three campuses.

After you complete courses or programs at Nunavut Arctic College, you may want to study at other post-secondary institutions. Most college and universities will require an official transcript of your course and program achievements when you apply. To obtain an official transcript*:
*Transcript requests will not be processed for students with outstanding balance.
1. Fill in the Official Transcript Request online form.
2. Payment must be received before the transcript is processed. Official Transcript is $15.75 per copy.
3. Official Transcripts are normally produced in 3 to 5 business days.
4. The Registrar will issue an Official Transcript to the institution you wish to attend. It will be sent directly to the institution, and will be sealed and signed by the Registrar.

If you wish to have a copy of your transcript, you can request an Unofficial Transcript copy for your records. These unofficial copies are for personal use only, as most institutions only accept official transcripts sent directly from Nunavut Arctic College by the Office of the Registrar.
Unofficial Transcripts are free.
Unofficial Transcripts are available through the Self-Service portal to students who have Self-Service accounts.

When you have completed all requirements of your program, and wish to receive a Nunavut Arctic College diploma, certificate, or record of achievement, you must complete and submit to the registrar an Elect to Graduate form. You will be notified if you are eligible to graduate, and provided an explanation if you are not.
Students continuing into the next year of a multi-year program should fill in a Continuation Notice form.
Students who are nearing completion of their program should carefully review the graduation requirements identified below.
Elective and Required Courses
Most programs allow students to choose elective courses that count toward the completion of the program, but which not all students in the program will necessarily take.
Electives allow students to tailor their curriculum to their own interests and career goals. However, it is each student’s responsibility to make careful note of required courses and to ensure that all required courses are completed prior to the date you hope to graduate from the program. Speak to your academic advisor for more information.
Minimum Average
Students must ensure that they have completed the minimum number of approved elective courses. Certificate and Diploma programs also require a minimum average of 60 per cent or more in courses counting toward graduation.
Students should make careful note of the information in the “Certification and Curriculum” sections of their program's description. To find this information, see the individual program descriptions in the NAC Academic Calendar.
Outstanding Accounts
Students will not receive diplomas, certificates, transcripts, records of achievement or be allowed to participate in convocation ceremonies if they owe money to the College. You should check whether all your fees (everything from tuition to library fines) are paid in full before applying to graduate, but you will be provided the outstanding balance if your application to graduate is rejected.

You must officially notify the College if you choose not to complete a program or course in which you're registered.
Failing to do so can:
• Cost you money, as you may be eligible for a refund on tuition, or it may impact on student allowances
• Affect future acceptance into programs at Nunavut Arctic College or other post-secondary institutions by leaving a grade of N (Not Completed Requirements) or a NC (No Credit) failing grade on your student record (successful withdrawal means that withdrawal will be recorded beside the program or course in question).
NOTE: Withdrawal dates, penalties, refunds and withdrawal fees associated with withdrawal from programs and courses offered in partnership with another post-secondary institution are subject to that institution's policies. Refer to that institution's calendar for more information.
Withdrawal from a Weekday, Daytime Program
To withdraw from a weekday, daytime NAC program (programs NOT administered by the Continuing Education department), you must advise the instructor in writing. The instructor will complete a Program Completion/Withdrawal form authorizing possible refund of tuition. Your campus registrar or designate must receive the form no more than three weeks after your first day of classes in your first year of study.
To qualify for a refund, you must attach a copy of the Student Registration Form. Refunds will be awarded as follows:
50 per cent refund
Withdrawal form received up to three weeks after classes begin.
100 per cent refund
Withdrawal form received at least two weeks prior to the first day of classes.
No refund on current term
Withdrawal form received more than three weeks after classes commence. Submit the form(s) to the campus through which your program is administered.

To remain in your program while withdrawing from one or more weekday, daytime courses or workshops (NOT Continuing Education courses or workshops), you must complete a Student Registration Form showing that you have dropped the course. Your campus registrar or designate must receive the form prior to the delivery of the third class.
Refunds will be awarded as follows:
100 per cent refund
Student Registration Form received two weeks prior to the first day of class.
90 per cent refund
Student Registration Form received after two weeks prior to the first class and before the third class.
No refund
Student Registration Form received after delivery of the third class.
Submit the form(s) to the campus through which your program is administered.

Withdrawal from a Continuing Education (Evening/Weekend) Course
If you are enrolled in a Continuing Education course (generally, any credit or non-credit course or program offered on a part-time basis outside of the regular daily schedule) you will have registered through the Continuing Education department or adult educator, and not the Registrar.
Withdrawal from a Continuing Education course (and application for a possible refund) is also accomplished through the Continuing Education department and NOT through the registrar. The Coordinator of Continuing Education must receive notice of withdrawal prior to the delivery of the third class.
Refunds will be awarded as follows:
100 per cent refund
Withdrawal submitted prior to the first day of class.
90 per cent refund
Withdrawal before the third class.
No refund
Withdrawal submitted after delivery of the third class.
